Building Blocks Privacy Policy

RATIONALE:  At Building Blocks we recognise and respect tamariki, whānau, educators, and staff members individual rights in protecting their privacy.

PROCEDURE:  The Building Blocks Director is the Privacy Officer for Building Blocks. All confidential personnel files are kept under lock and key.

Permission is sought via a signed enrolment form for the use of tamariki digital images for the purposes of:

• Assessment, planning, and evaluation.      
• Public Social Media Sites.
• Private or Secret Social Media Sites.
• Building Blocks Tamariki Learning Journals.
• Building Blocks Tamariki Learning Journals (belonging to other tamariki).
• In marketing for Building Blocks - for the duration of 3 years, at which time all images will be destroyed.
  o   Building Blocks will always contact you before images and videos are used.
• Building Blocks events (workshops, conferences, etc.)

All members of the Building Blocks community, whānau, Educators and all other employees, recognise the privacy of the whānau attending Building Blocks.

Information on a tamaiti enrolled at Building Blocks is shared only with others who need it to effectively carry out their duties related to that tamaiti.

Appropriate information will only be shared with outside agencies with parental permission unless relevant to the Childrens Act 2014.

Photographic and video footage of tamariki learning experiences recorded on digital devices (either personally owned or the property of Building Blocks) will only be used within the context of documentation of said learning. All documenting will be done in a fair and reasonable manner and in a respectful way.

All personal information (e.g. enrolment forms) will be disposed of in a confidential manner (e.g. shredding). All personal information stored on electronic equipment will be securely deleted before being reused or disposed of.

All online personal information needs to be on secure sites with tight privacy settings and with permission.

• Use information collected for the purpose it was collected for.
• Ensure personal information is securelystored.
• Ensure information collected is accurate.
• Make available to a person information held about them.
• Provide relevant documents at the request of the Privacy Commissioner.
• Report notifiable privacy breaches to the Privacy Commissioner, affected parties and the Ministry of Education.

Building Blocks Privacy Statement for Child Enrolment

Building Blocks collects your personal information for the purposes of providing education and care services and manages it in accordance with the Privacy Act 2020.

You do not have to provide us with the information we request, however it may mean we cannot provide our service to you or your tamariki.

We use an electronic third-party provider to securely store and process information for us. Physical copies are kept in secure locations.

Your information is only accessible to staff and educators who have a legitimate reason to use it.

We will not disclose your information with outside agencies not connected to our core purpose. We are obligated to share with certain agencies: ERO, Oranga Tamariki, NZ police, and Ministry of Social Development and in an ongoing basis with the Ministry of Education.

Personal information about your child collected on this enrolment form is shared with the Ministry of Education who store it securely and treat it in accordance with the Privacy Act 2020. Information is disclosed to the Ministry:

• For funding allocation purposes
• For monitoring purposes
• To allow the assignment of a National Student Number* to your child, and
• To allow the Minister or Secretary of Education to exercise any of their other powers or responsibilities under the Education and Training Act 2020, and as permitted by Privacy Principles 10 and 11.

Completed forms may also be viewed by Ministry officials on request for the purposes of monitoring and licensing.

Identification of your tamariki received by us will be destroyed when the enrolment process is completed.We will endeavour to ensure the information we hold is accurate.
